## Video recap

Give teammates and external providers the access they need by combining roles, departments and property scope.

### Roles define permissions

Review the Admin, Manager, Member and Viewer roles, or create a custom role. Permissions control access to areas such as Inbox and Tasks, including which inboxes a role can see and which task actions it can perform.

### Departments organize the team

Assign people to one or more departments. When creating or editing a department, set whether it is a field operations department so on-site work is represented correctly.

### Invite internal teammates

Enter the person’s name and email, add a phone number if needed, and choose a role and department. The walkthrough also shows optional password setup and shift requirements when inviting a member.

### Set up external providers

Use a vendor profile for an external technician or company. Choose its department and property groups, decide who manages the vendor workspace, and configure default task assignment where appropriate.

### Review individual access and shifts

A member normally inherits their role’s access. Use member overrides when someone needs a narrower property or department scope, and enable shifts when the person should appear in workforce scheduling.
