Bring an agent into a call to record, transcribe, and prepare notes. Choose whether it also responds when addressed.

Set up meeting behavior

Open AI Hub, choose the agent, and open Meetings → Meeting settings. Under Meeting behavior, choose Record only when you need notes without spoken participation or tool use. Choose Interactive when the agent should respond when addressed. Set a recognizable display name and the transcript language. For an interactive agent, review its voice, greeting, instructions, and the words that wake it or return it to listening. Check Email meeting recaps before enabling it, because this controls post-meeting email delivery. These settings save automatically and apply to future meetings. Wait for the saved indicator, and resolve any save error before relying on a change for the next call.

Choose which meetings to attend

In Meeting settings, connect the intended Google Calendar account and review Joining preferences. Check the calendar account shown on the agent: use the one whose calls it should attend. Open the meeting calendar to review upcoming events. Use Attend or Skip for a specific meeting when it needs an exception, or Use rules to return it to the calendar’s joining preferences. Review these choices before a call starts. For a call already arranged outside that calendar, paste its Google Meet, Zoom, or Microsoft Teams URL into the meeting join control and select Join. Check the joining status and admit the agent if the meeting host must let it in. The request to join and the start of recording are separate states.

Follow a live meeting

Open the meeting to see its current state, participants, and available transcript. An interactive agent can respond when addressed; a record-only agent remains silent. Use the active meeting’s stop or leave control if it should no longer participate. You can close the Trellis page while capture continues. Return after the call to review the result rather than expecting a complete summary while recording is still in progress.

Review notes and next steps

Open Meetings and search for the call, or use the status tabs to find recent, live, upcoming, or processing meetings. Select the call and read Notes, Next steps, and the transcript together. Check names, commitments, dates, and amounts against the transcript before acting on them. Edit the notes where needed and wait for Saved. When a completed meeting has a transcript but no notes, Trellis starts generating them. Wait for generation to finish, or use Regenerate when you need another generated version. Review any linked property, reservation, or task to understand the operating context. An action item in the notes is a record of the discussion; check or create the actual task before assuming it has been assigned.

Export and check delivery

Open Export and choose the Markdown download for a text copy of the notes and transcript. Copy link lets a teammate return to the Trellis meeting, subject to their access. Check the meeting’s Delivery section separately from its transcript. A transcript can be available while a recap is still pending or has failed. No destinations configured means there was nowhere to deliver the result; it does not mean an email was sent.

Common problems

Check the meeting URL, calendar account, joining preferences, and any Attend or Skip override. Review whether the agent was waiting for the host to admit it.
Open the meeting’s processing details to see which step is incomplete. If it fails or remains stalled, share the meeting link and displayed error with support.
Set Meeting behavior to Record only and confirm it saved before the next meeting.
