Choose the answers, checklist items, media, and costs workers must provide before completing a task.

Before you start

Open Tasks → Verification with permission to manage task operations. Set checklist-specific instructions in the task template.

Add completion fields

Under Task close requirements, choose Add field and enter a label that tells the worker what to provide. Choose the matching type: text for an explanation, a number or currency for an amount, a date or time, a yes/no answer, or a selection from defined options. For a selection field, enter the options separated by commas. Mark a field Required when every completed task needs it. To request an answer only in a particular case, use Condition to select another field and the value that makes this answer necessary. For example, add a selection asking “Was any damage found?” with Yes and No options. Add a description field with the condition that the first answer equals Yes. Use Save fields, then check both answers on a sample task to confirm when the description is requested.

Set checklist and photo requirements

Turn on Require checklist completion when workers must finish every required checklist item before completing a task. Review the template’s required items as well: the setting enforces the work defined there. Under Task completion media, choose whether workers can add optional photos or videos to the mobile completion summary. These files remain on the task, but they do not satisfy the separate required-attachment closure rule. Use Cleaning task photo minimum to choose how cleaning photo requirements work. Leave it blank to use each checklist step’s photo rules, enter 0 to make cleaning photos optional, or enter a whole number from 1 to 50 for a total minimum. Select Save changes after editing that number.

Require evidence by department

Under Department closure rules, select Add rule. Choose a department, or All departments for the workspace default, then mark Media attached, Cost item, or Summary as required. Select Save rules. For example, require a cost item and repair summary for Maintenance tasks.

Choose task or visit completion on mobile

Enable Mobile visit completion when workers should close the visit as a whole. It hides individual task completion on mobile and asks for a visit summary instead of separate task summaries. See Tasks and visits for the mobile completion flow.

Test completion requirements

Use a sample task with the relevant department and template. Try completing it with one required answer or item missing, read the requirement shown, then supply it and finish the task. Reopen the task to confirm the answers and evidence were saved. An override lets a reviewer complete work with missing evidence. Inspect the missing requirement before using it.

Common problems

Optional completion-summary media does not satisfy the required-attachment closure rule. Add the requested evidence in the task’s attachment flow and check the remaining requirement.
Check the selected source field and the exact option or value used in the condition. Save fields and test both matching and non-matching answers.
Check Mobile visit completion. When it is on, workers complete the visit instead of closing each task separately.
