Share selected properties, completed work, and claims with an owner. Each portal link has its own property scope, visible sections, and expiry. The Owner Portal works with or without Guesty. Open Properties → Owner Portal with administrator access. Enter a recognizable portal name and select the properties this owner should see. Check the selection carefully when you manage several owners in the same workspace. Choose the owner contact when available. Trellis suggests contacts linked to the selected properties; review the selection rather than assuming every suggested contact is the intended recipient. You can also create a link for an external owner without linking a contact. To publish an owner-approved task, use an active link tied to the owner contact who approved that task. Choose an expiry: 7, 30, or 90 days, a custom date, or no expiry. Set whether the owner can comment and review the photo settings. Select the sections to include, such as Overview, Calendar, Tasks, Claims, Reviews, Rates, and Notifications, then create the link. Copy the generated link and send it to the intended owner through your usual channel. Creating or copying it does not send an invitation. Treat the link as access to the selected property information and share it only with the intended recipients.

Review an update before sharing it

Open the completed task and go to Resources → Owner portal publishing → Review and publish. This section is available to administrators after the task is complete and its owner approval is Approved. If approval is missing, follow the task’s owner approval process first. Check the owner-facing title, summary, staff attribution, and selected photos. Explain the result in terms an owner can use, such as what was repaired and whether further work is needed. Select the active portal link for the approving owner and confirm the property before choosing Publish to owner portal. Publishing makes this reviewed version visible in the selected owner access. Later task edits stay internal until you review and publish again. Publishing does not send an email, SMS, or another owner notification.

Publish to Guesty when available

Guesty is an optional destination for eligible cleaning or inspection updates. It appears when the workspace has an active Guesty connection, the property has one active Guesty listing mapping, and the update has eligible photos. Trellis owner access remains required. If you also select Guesty, Trellis creates a completed Guesty task from the approved update. Check its delivery status separately; a Guesty warning does not remove the update already shared in Trellis. See Guesty for connection details.

Share claims with an owner

Open the claim, select the owner contact and intended owner portals, and review its visibility. Make sure Claims is enabled for that portal. Share the amount, explanation, and evidence only after they are ready for the owner to review.

Change or revoke access

Find the existing link in Owner Portal and open its settings to review the properties, sections, comments, photos, and expiry. Update that link when the same owner needs a different scope. Use Revoke when access should stop. Check the link’s status afterward. The access count and last-access time show whether the link has been used.

Common problems

Check that the link is active and has not expired. Review its selected properties before sharing a replacement link.
Check that the task is complete, its owner approval is Approved, and the approving owner has an active link for the property. An administrator must then review and publish it from the task. Check that Tasks is enabled on the portal.
Check the active connection, the property’s unique active Guesty mapping, and whether the update is an eligible cleaning or inspection with photos. You can still share the update through Trellis owner access.
